What does your bookkeeping service actually include?

We handle monthly reconciliation of all your accounts, categorisation of income and expenses, clean and accurate financial records, and monthly reports that tell you how your business is actually performing. You get a dedicated team that knows your books — not a software subscription that leaves you figuring it out yourself.

Yes — and this is one of the most common situations we step into. Whether you’re six months behind, have years of uncategorised transactions, or simply never had a proper system in place, we’ll get everything organised, reconciled, and current. Our team is QuickBooks Certified. We work within your existing setup where possible and can recommend or migrate you to the right platform if your current tools aren’t serving you well.

Can you actually reduce my tax bill — or is that just marketing?

It’s real, and it’s legal. The IRS tax code contains hundreds of deductions, credits, and structuring strategies that most business owners never use because nobody shows them how. What does your payroll service cover?

Full-cycle payroll processing — calculating gross pay, deductions, and net pay for every employee each cycle — along with federal and state payroll tax deposits, 941 and 940 filings, direct deposit management, new hire reporting, W-2 and 1099 preparation, and garnishment handling. Everything your payroll obligation requires, handled end-to-end.

Late payroll tax deposits trigger IRS penalties that compound quickly. More seriously, unpaid payroll taxes can result in Trust Fund Recovery Penalties assessed personally against business owners and officers — meaning your personal assets are at risk, not just the business’s. Accurate, on-time payroll processing is one of the most important protections a business owner has. We make sure it never becomes a problem.

Yes. Transitions are straightforward and we manage the process. Bring your current payroll records to your first appointment and we’ll handle the migration and ensure there’s no gap in processing or compliance.

CORPORATE COMPLIANCE

What does corporate compliance actually involve?

Annual reports, state filings, entity maintenance, registered agent requirements, and making sure your business remains in good standing with both state and federal authorities. If you operate as an LLC, S-Corp, C-Corp, or any formal entity, there are ongoing obligations that go beyond your tax return — and missing them has real consequences including dissolution of your entity in some cases.

Yes. Texas franchise tax obligations apply to most business entities operating in the state, regardless of profitability, and exist entirely separate from your federal requirements. We manage both in the same engagement so nothing falls between the two systems.

Yes, and this is an area where having one team across all entities makes a significant difference. IRS NOTICES & RESOLUTION

I received an IRS notice. What should I do?

Don’t respond to it alone, and don’t ignore it. Every IRS notice has a deadline, and responding incorrectly — or missing the window — can eliminate options that were available to you. Contact Mayatax immediately. We’ll identify what type of notice it is, explain what it means, and handle all correspondence and negotiation with the IRS on your behalf.

Yes. We handle IRS Offers in Compromise, installment agreements, Currently Not Collectible status petitions, penalty abatement requests, wage garnishment and levy releases, and federal tax lien resolution. If the IRS is already taking collection action, we move quickly to stop it and negotiate a path forward.

There are more resolution options than most people realise. An Offer in Compromise may allow you to settle for less than the full amount owed. An installment agreement creates a manageable monthly payment. Currently Not Collectible status can temporarily suspend collection activity if you genuinely cannot pay right now. We assess your specific situation and recommend the path that gives you the best outcome.

CFO ADVISORY

What is CFO advisory and does my business actually need it?

CFO advisory means having a senior financial strategist working on your business — reviewing your cash flow, analysing your margins, planning your financial decisions, and making sure the numbers support where you want to go. If you’re making significant hiring, growth, or investment decisions without that kind of oversight, you’re operating with a gap. Our CFO advisory service fills it at a fraction of what a full-time CFO would cost.

Bookkeeping records what happened. Tax preparation files what’s required. CFO advisory uses all of that information to shape what happens next. Pricing depends on the size and complexity of your business. Our bundled subscription plans start at $349 per month and include bookkeeping, tax preparation, quarterly estimates, and dedicated support. We also offer standalone service engagements for tax preparation, payroll, compliance, and advisory. All pricing is transparent — you receive a customized plan with clear costs before any work begins.

No. Every engagement starts with a clear scope and a stated price. If anything changes — scope expands, additional filings are needed, a new entity is added — we discuss it with you before proceeding. No invoice surprises.

Yes. Our bundled plans combine bookkeeping, tax preparation, payroll, and compliance support in a single monthly subscription designed to scale as your business grows. Bundling your services with one team also means everything is coordinated — no gaps between what your bookkeeper knows and what your tax preparer files.
